Freight forwarder in India
How to choose a freight forwarder in India
Judge a freight forwarder on four things. Whether they handle customs clearance themselves or subcontract it, whether they have real agents at your destination, how fast and how completely they quote, and whether one named person owns your shipment. Price matters, but it is the easiest thing to get wrong and the least useful thing to compare in isolation. India has thousands of freight forwarders. Most look identical on a website. Here is how to tell them apart before you commit cargo.
1. Do they clear customs in house?
This is the single most useful question you can ask. A forwarder who handles customs clearance with their own licensed team controls the timeline. One who subcontracts it is passing your file to a third party and passing you their updates second hand. When a query comes up on classification or valuation, in-house means an answer the same day. Subcontracted means waiting for someone to call someone. Ask: do you file clearance yourself, or through an agent?
2. Who is actually at the other end?
Any forwarder can book space on a vessel. The difference shows up at destination, when someone has to clear the cargo, arrange delivery and answer your buyer's questions. Forwarders work through partner networks for this. A real network relationship means an agent who has handled their cargo before and will prioritise it. A booking portal means whoever is cheapest that week. Ask: who is your agent at my destination, and how long have you worked with them?
3. How fast do they quote, and how complete is the quote?
Speed tells you how they are organised. A forwarder who takes four days to price a straightforward enquiry will take four days to answer you when cargo is stuck. Completeness tells you how they do business. A quote should show freight, origin charges, clearance, transport and destination charges as separate lines. Charges that commonly appear later if they were not quoted up front include terminal handling, documentation, CFS handling, bill of lading fees and fuel or emergency surcharges. Ask: is this all inclusive, and what could still be added later?
4. Is there a named person on your account?
Freight goes wrong at inconvenient hours. What matters then is whether the person who answers knows what you shipped. A named contact who has your shipment history beats a general helpline every time, especially on your first few shipments when you do not yet know what questions to ask.
Ask: who will I be dealing with day to day?
5. Can they handle your kind of cargo?
Not all cargo is standard. Project and oversized cargo, dangerous goods, temperature-controlled shipments and ecommerce consignments to Amazon warehouses each need specific handling and paperwork. A forwarder who says yes to everything without asking questions about your cargo has not thought about it. One who asks about weight distribution, MSDS sheets or labelling requirements has done this before.
How to read a freight quote
Compare quotes line by line, not on the bottom number. Check what is included at origin, what is included at destination, whether inland transport is in the price, whether the rate is subject to surcharges, and how long the rate is valid. Freight rates move constantly. Drewry's World Container Index sat at $4,297 per 40ft container in early August 2026 after weeks of movement in both directions. A rate quoted three weeks ago may not be available today, which is why validity dates matter. The cheapest quote is often the least complete one. Once the missing charges appear on the invoice, it usually is not the cheapest at all.
Red flags
- A quote with a single number and no breakdown - No answer on who clears customs - Vague answers about the destination agent - No written rate validity - Reluctance to put anything in email
Frequently asked questions
What does a freight forwarder actually do? A freight forwarder arranges the movement of your cargo. That can include collection, export documentation, customs clearance, booking space on a vessel or aircraft, insurance, destination clearance and final delivery.
Do I need a freight forwarder or a customs broker? A customs broker handles clearance only. A freight forwarder can handle the whole journey. Some forwarders hold their own customs licence, which means one party instead of two. How much should freight forwarding cost? There is no standard figure. It depends on mode, lane, volume, cargo type and season. What matters is whether the quote is complete, not whether it is low. Should I use one forwarder or several? Regular shippers usually do better with one. Consolidated volume gets better rates, and a partner who knows your cargo makes fewer errors. How do I check if a forwarder is genuine? Look for a customs licence, membership of a recognised agent network, a verifiable office address, and clients who will speak to you.
